Update Shopify Inventory from a Supplier File
Needs two files: your Shopify products export and the supplier's CSV or XLSX stock sheet. Download a safe inventory update and stop selling what your supplier ran out of.
Runs on this device
You need two files
Your Shopify products export
CSV or XLSX, exported from your store admin.
The supplier's file
Any CSV or Excel layout, read as it comes.
Your store export
Supplier price list
Preparing the local workbench: it reads both files in this tab, matches them by SKU or barcode and writes a Shopify update file for stock.
Nothing is uploaded — both files are open only in this tab.
Before you import it
Exactly which columns reach your store.
The file contains
- Handle · Options · Variant SKU
- Identity only — Shopify matches the row by them.
- Variant Price
- Carried verbatim from your export so a partial row cannot blank a price.
- Variant Inventory Qty
- Only when you confirm a single inventory location.
Shopify keeps every value whose column is absent from the file, and all variants of each touched product are included so none can be dropped on import.
It never touches
- Titles and descriptions
- Images
- SEO, URLs and handles
- Collections and tags
- Publication status
- Products and variants: none created or deleted
Every change is reviewed on screen before a file exists.
How it decides
The method, in three steps.
- 01The supplier's stock column is matched to your variants by SKU or barcode with live match-rate feedback and normalization for messy keys.
- 02Out-of-stock policy is explicit: supplier zero can set stock to 0 or leave it unchanged; items missing from the supplier file are reported, never silently zeroed by default.
- 03Only variants that already track inventory in Shopify receive quantity updates; untracked variants are skipped and listed, and tracking settings are never modified.
What it assumes
Said before you upload, not after.
- 01
Quantity via the product CSV applies to single-location stores — the option requires that explicit confirmation, and multi-location stores should use Shopify's inventory CSV instead.
- 02
Discontinued references (in your store, absent from the supplier file) are reported for your decision; the file does not unpublish anything.
- 03
Everything runs locally in your browser; stock sheets and costs are never uploaded.
A real run
Monday's stock sheet, before the first oversell
Goes in
A 2,000-row supplier sheet against a 600-product store.
Comes out
144 quantity updates, 12 items now out of stock, 9 discontinued references to review — one safe update file.
Same engine, different job
