What the result includes—and what it does not
Built for eBay sellers reviewing which orders made money after the expenses, refunds, and item costs recorded in eBay's Earnings report.
Calculation method
- 1The analyzer detects the Earnings CSV by its Order ID, Order earnings, and Net order earnings fields, so it does not silently treat an Orders or Transaction export as the same report.
- 2Gross amount, Expenses, Refunds, Order earnings, Your cost, and Net order earnings are read from each order row. Margin is Net order earnings divided by Gross amount.
- 3Two checks compare Gross amount minus expenses and refunds with Order earnings, then Order earnings minus Your cost with Net order earnings. Differences beyond two cents are listed for review rather than overwritten.
- 4A blank Your cost cell is classified as missing information, while an explicit zero remains a supplied zero. Negative Net order earnings are flagged as loss-making orders.
Assumptions and limits
- Expenses is kept as eBay's broader label because it can include fees, fee credits, shipping labels paid from eBay funds, and donations; it is not described as fees alone.
- The report is selected by order creation date, but later expenses and refunds associated with those orders can change its figures. It is an order-profit view, not a payout or bank reconciliation.
- Shipping labels paid using a method other than eBay funds are outside the Earnings calculation. Currencies are not converted.
- The tool uses Your cost as reported by eBay and does not infer missing inventory cost, tax treatment, labour, overhead, or income tax.

Frequently asked questions
What is the difference between the eBay Earnings and Transaction reports?
The Earnings report is organized by order and exposes gross amount, order-linked expenses and refunds, Your cost, and Net order earnings. The Transaction report is a payments ledger with transaction types, Net amount, fees, labels, and payout identifiers. Use Earnings to review order profitability and Transaction to audit cash movements or payouts.
Why does the analyzer mark Your cost as missing instead of zero?
A blank cost does not prove the item was free. The analyzer distinguishes an empty cell from an explicit 0 so orders without a recorded acquisition cost cannot look fully profitable by accident.
Why can an old order change in a newly generated Earnings report?
eBay states that the report reflects expenses and refunds associated with the selected orders at the time the CSV is generated. A later return, dispute, fee credit, or expense can therefore change the earnings shown for an earlier order.
Can I use the Earnings report to reconcile an eBay bank deposit?
No. It is an order-level profitability report and does not contain the payout grouping needed to explain a transfer. Use the eBay Payout Reconciliation tool with a Transaction report for that task.
Does the Earnings report include every shipping cost?
No. eBay says shipping labels paid with methods other than eBay funds, such as PayPal, are not included in this report or its Order earnings calculation. Add those costs elsewhere before treating the result as complete business profit.
